Axivon is a trading name of MG & CO Consulting Ltd, a company registered in England and Wales. MG & CO Consulting Ltd is the data controller for the personal information described in this notice.

2. Information we collect

When you contact us through the website, email, phone or WhatsApp, we may collect:

• your name, business name, role and contact details;
• information you provide about your enquiry, business or workflows;
• your communication preferences and consent choices.

For relevant business-to-business outreach, we may also collect:

• your name, employer, business role and business email address;
• company website, location and legal-entity information;
• the public or approved provider source of the information;
• campaign activity, replies, objections and suppression status.

We do not intentionally collect special-category information or personal-life information for business outreach.

3. Where information comes from

We collect information directly from you when you contact us. Business-contact information may also come from company websites, Companies House, public professional pages, referrals and reputable business-data providers. Public availability does not remove our responsibility to use the information fairly.

4. How we use information

We use personal information to:

• respond to enquiries and provide requested information;
• assess, propose and deliver Axivon services;
• send proportionate, relevant business-to-business outreach;
• manage replies, objections and suppression records;
• operate and protect our website, communications and business records;
• measure website marketing where permitted, including Meta Pixel and Conversions API using hashed data.

We do not sell personal information.

5. Legal bases

Depending on the activity, we rely on:

• legitimate interests to respond to business enquiries, run our business, protect our systems and send targeted business-to-business marketing where our interests are not overridden by your rights;
• consent where you have specifically opted in, including WhatsApp marketing where consent is required;
• contract where processing is needed to provide a service you have requested;
• legal obligation where the law requires us to keep or disclose information.

6. Business outreach and opt-out

Our consent-free cold-email activity is limited to confirmed corporate subscribers, such as limited companies and limited liability partnerships. We do not use this route for sole traders, ordinary partnerships, personal email addresses or uncertain subscriber types.

Every outreach message identifies Axivon and provides a way to opt out. You can reply to the message or email hello@axivon-ai.com at any time. We will stop direct marketing and keep the minimum suppression record needed to honour your request.

7. WhatsApp messaging

If you opt in to WhatsApp messages, we may send follow-up messages relating to your enquiry through WhatsApp Business. You can withdraw consent at any time by replying STOP.

8. Service providers and sharing

We use service providers to host our website and business systems, manage email and customer records, research and verify business-contact information, personalise relevant outreach and deliver campaigns. These may include Google Workspace, Instantly, Airscale, BillionVerify, Microsoft Azure and HubSpot.

Providers may process information outside the UK. Where UK data-protection law requires it, we use an applicable transfer mechanism or other lawful safeguard. We may also disclose information to professional advisers, regulators or authorities where necessary or required by law.

9. Retention

We normally keep enquiry and active prospect information for no more than 12 months after the last meaningful interaction, unless a longer period is needed for a customer relationship, legal obligation or dispute.

If you object to direct marketing, we retain only the minimum contact identifier and objection record needed to prevent future contact.

Under UK data-protection law, you may have the right to:

• access the personal information we hold about you;
• ask us to correct inaccurate information;
• ask us to erase or restrict information in certain circumstances;
